Your farm records deserve plain language.

This policy explains what Headland collects, why we collect it, who helps us run the service, and how farmers can access, export, or delete their data.

This page is intended to be clear and practical. It explains Headland's current privacy practices in farmer-readable language.

1. Who We Are

Headland Technologies Ltd. is based in Alberta, Canada and operates the Headland web and mobile application at headland.farm. In this policy, "Headland", "we", "us", and "our" refer to Headland Technologies Ltd.

Headland helps farms keep field records, bin inventory, equipment service, grain movement, weather windows, team updates, photos, files, and farm notes in one operating record.

2. Information We Collect

Account information

If you create an account, we collect information needed to create and secure that account, such as your name, email address, authentication provider, profile image, region, farm membership, and role.

Marketing email capture (before you have an account)

If you leave your email on our public pages (for example the "keep me posted" form on the landing page), we store that email address, which public page it came from, and when you submitted it. We use it only to reach you about Headland — it is never sold or shared, and it is not connected to any farm account unless you later create one with the same email. To have it removed, email privacy@headland.farm.

Farm records

You may enter farm information including fields, legal land descriptions, field access notes, crop years, scouting, spray reports, grain crops, bins, grain contracts, load tickets, quality details, equipment, service records, parts, fluids, photos, tasks, time entries, payroll notes, team members, farm plans, reports, and other records you choose to store in Headland.

Photos, files, and scanned records

Headland can process photos and documents such as scouting photos, equipment parts, service photos, grain tickets, contracts, and older paper records. These files may be stored so they remain attached to the farm record they support.

Assistant requests and conversations

When you ask Headland a question, we process your message, conversation history, selected records, photos you attach, and related farm context needed to answer. Conversation history may be stored so you can return to it later.

Weather and location information

If you save farm or field locations, Headland may use coordinates, regions, and weather-location settings to show farmer-focused weather such as spray windows, inversion risk, frost risk, disease pressure, and hourly conditions.

Device, usage, and security information

We collect limited technical data needed to run and protect the service, such as log timestamps, app routes, performance data, browser/device information, authentication events, errors, and temporary rate-limit information.

3. How We Use Information

We collect, use, and disclose personal information only for reasonable purposes connected to operating Headland, supporting farm accounts, protecting the service, and providing the features a farmer chooses to use.

  • Provide, sync, and display farm records across devices.
  • Organize records by farm, field, bin, machine, contract, person, and season.
  • Answer questions and surface context from your farm records.
  • Process photos, tickets, documents, reports, and assistant requests.
  • Show weather, field, equipment, bin yard, inventory, team, and tool features.
  • Manage accounts, authentication, roles, permissions, and farm members.
  • Protect Headland from abuse, debug issues, and improve reliability.
  • Communicate with you about support, security, account, or product matters.

We do not sell farm data. We do not use farm data to train public or shared AI models. We would not do that without an updated policy and explicit farmer consent.

Employee and team records, such as time entries, tasks, payroll notes, messages, photos, and role information, are used to provide farm-team features to the farm account. Farm owners are responsible for using those features in a way that fits their workplace, payroll, employment, and privacy obligations.

4. How Farm Data Is Stored

Signed-in accounts

Signed-in farm data is stored in cloud services that help Headland sync across devices. Farm records are scoped by farm membership and protected by access controls such as row-level security. Invited farm members can see records according to their role.

Guest or local data

Some app preferences and guest-mode records may be stored in your browser or device storage. Clearing browser data can remove local-only records.

Security

We use safeguards such as authentication, access controls, HTTPS/TLS in transit, and provider security controls. No internet service can guarantee absolute security, but farm data protection is a core product requirement.

5. Service Providers

Headland uses service providers to operate the product. We share only the information reasonably needed for those services to work.

  • Supabase: authentication, database, storage, and related backend services.
  • Anthropic: assistant responses and image/document reasoning when you ask Headland questions.
  • Vercel: hosting, performance, analytics, and deployment infrastructure. Product-funnel events may include a farm UUID (the same tenant id already used on activation events) plus first-touch campaign channel and clipped UTM source/medium/campaign. They do not include email, names, user ids, document contents, chat text, click ids, or full URLs.
  • Google and Apple: sign-in services when you choose those login options.
  • Weather and search providers: weather, market, or reference lookups when those features are used.
  • Payment processors: billing services if Headland introduces paid features.

These providers have their own privacy and security terms. We keep this policy aligned with the services Headland actually uses.

Some providers may process or store information outside Alberta or Canada. When information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction. We choose providers to help run Headland and limit shared information to the context needed for the task.

6. Google and Apple Sign-In

If you sign in with Google, we receive basic profile information such as your name, email address, and profile picture so we can create and authenticate your Headland account. We do not sell Google user data or use it for advertising.

If you sign in with Apple, we receive the information Apple provides for account creation, which may include a private relay email if you choose to hide your email address.

7. Sharing Within a Farm

Farm owners and admins can invite people to a farm and assign roles. Farm members may be able to see farm records, tasks, time entries, photos, reports, and other shared farm data according to their permissions. Farm owners are responsible for managing access for employees, family members, consultants, and other users they invite.

8. Data Retention, Export, and Deletion

Farm data is kept while the account or farm remains active, unless it is deleted by a user with permission or removed through a support request. Some records may be soft-deleted before routine permanent deletion so the app can preserve sync, audit, and recovery behavior.

Headland includes export tools for farm records. Farm owners can delete farm data in Settings. Account deletion can be completed in Settings through the Data section, with details on the data deletion page.

We may retain limited information when required for security, fraud prevention, legal compliance, payment records, tax records, backups, dispute handling, or other legitimate business requirements.

9. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, export, withdraw consent for, or request deletion of personal information. To make a request, contact us at privacy@headland.farm.

Alberta's Personal Information Protection Act and Canada's private-sector privacy laws may apply to some of Headland's handling of personal information. We aim to give farmers meaningful notice and practical control, not just legal fine print.

Privacy requests should be made in writing. We may need to verify your identity or farm authority before giving access to, correcting, exporting, or deleting information connected to a farm with multiple members.

10. Cookies and Local Storage

Headland uses essential cookies and local storage for authentication, session management, preferences, offline behavior, and app functionality. We do not use advertising cookies on the Headland app as of the last updated date of this policy.

11. Children

Headland is built for farms and is not directed to children under 13. If you believe a child has provided personal information to Headland, contact us so we can review and remove it where appropriate.

12. Security Incidents

If we become aware of a security incident involving personal information, we will assess it and take steps that are reasonable in the circumstances. Where required by applicable law, we will notify affected users, regulators, or other parties.

13. Changes

We may update this policy as Headland changes. Material updates will be posted on this page with a new date, and where appropriate we may also notify users in the app or by email.
